Use: Immediately after finishing the job (within 2 hours)

Best for: Single-job residential customers. Works best when sent while you're still on-site or right after you leave.

3-Day Follow-Up
Use: 3 days after the job if no review received
Hi [Name], just following up from the other day. If you have a spare minute, a Google review would really help our small business: [your review link]. No worries if not. Just wanted to check in!
Best for: Follow-up only. The "no worries if not" removes pressure and makes customers more likely to respond.

Use: Quarterly for repeat/referral customers, before peak season

Best for: Past customers you want to keep warm for future work. Perfect before spring/summer season for HVAC, landscaping, roofing, etc.

Use: Immediately after resolving an emergency (burst pipe, AC outage, etc.)

Best for: Emergency calls where the customer may have been stressed. Shows care for the outcome, not just the transaction.

Email Templates

Email works well for commercial jobs, multi-stage projects, or customers you don't have a phone number for. Include the subject line and keep the body short.

Best for: Professional service businesses, commercial clients, or any customer where a more formal tone fits.

Use: 3 days after the job if no review received

If we did a good job and you have a spare minute, we'd really appreciate a quick Google review. Best for: Follow-up when the "quick favor" framing feels too transactional. The check-in softens the ask.

Thank-You + Review Ask
Use: For multi-day projects or larger jobs (renovations, installs, etc.)
Hi [Name], Thank you for the opportunity to work on your [project description]. We genuinely appreciate your trust in us. We're proud of the work we did, and we'd love to hear what you thought. If you have 90 seconds, leaving us a Google review would mean a lot: [your review link] If there's anything about our service that could have been better, we'd rather hear from you directly at [phone/email] than have it posted online. We take feedback seriously. Thanks again for choosing [Business Name]. Best regards, [Your Name] P.S. If you're happy with the work, your review really does help other homeowners find a quality contractor in [City].
Best for: Higher-value projects where the customer has invested more. The P.S. works surprisingly well on homeowners who've spent real money.

Best Practices

Sending these templates doesn't mean much if you send them wrong. Follow these four rules:

1. Timing is everything

Send within 2 hours of finishing the job. After 24 hours, your conversion rate drops by half. After 3 days, it drops further. The moment the customer is standing in their fixed kitchen looking at a job well done is the moment to ask.

2. One request, one follow-up

Send the initial template immediately. If no review after 3 days, send Template #2 once. Never send a third message. It only pisses people off and gets you blocked. Two messages maximum.

3. Use your direct review link

Never send a link to your Google homepage or Google Maps listing. Use a direct review link that drops customers straight on the write-a-review form. Generate yours free in 30 seconds.

4. Personalize each message

Replace every [placeholder] in the templates. "[Business Name]" and "[City]" are non-negotiable. The more personalized, the less it looks like spam. A 30-second edit turns a template into a real message.
